6. Pricing and VAT

All prices listed on our website are in GBP (£) and are inclusive of VAT unless stated otherwise. If the VAT rate changes between your order date and the delivery date, we will adjust the VAT you pay unless you have already paid in full before the VAT rate change.

7. Delivery

We will make every effort to deliver products within the estimated timescales; however, delays are occasionally inevitable due to unforeseen factors. We shall not be liable for any delay or failure to deliver products within the estimated timescales.

a. Risk and Title

Risk of damage to or loss of the products passes to you upon delivery. Ownership of the products will only pass to you when we receive full payment of all sums due, including delivery charges.

8. Cancellations and Returns

a. Right to Cancel

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel your order for most items within 14 days of receipt, without giving any reason. To exercise your right to cancel, you must inform us by providing clear written notice (email or post).

b. Return Policy

If you cancel your order, you must return the goods to us at your own expense, unless otherwise agreed. The goods must be in the same condition in which you received them, unused, and in their original packaging.

We will issue a refund within 14 days of receiving the returned goods or proof of their return, provided they meet the return conditions.

c. Non-Returnable Goods

Certain goods are exempt from being returned, including perishable items, bespoke items, and digital downloads once accessed or downloaded.

TUTORING: TERMS & CONDITIONS

1. . Introduction

These Terms and Conditions (“Terms”) govern the use of the tutoring services provided by SynapseUK Ltd. (“we,” “our,” “us”). By signing up for our services, the student and/or parent/legal guardian (“you”) agree to these Terms.

2. Services Covered

These Terms apply to the following service:

  • Tutoring (Year 7-9 (KS3), GCSE, A-Level)

3. Eligibility

  • Students must be aged 11–19 (or equivalent academic level e.g. 11+).

  • All information provided in the sign-up or booking process must be accurate and truthful.

4. Tutoring Terms

  • Sessions must be booked in advance through the WhatsApp groups.

  • Cancellations require 24 hours’ notice; cancellations made later than this may be chargeable.

  • Tutors are vetted university students and are not legally liable for academic outcomes.

  • SynapseUK acts as a facilitator and is not responsible for the tutor’s independent conduct outside of scheduled sessions.

5. Fees and Payment

  • Pay-First-Policy - All fees must be paid in full before services are rendered.

  • Methods of payment:

1) Bulk payments for that month's lessons in one go and any cancellations etc can rollover to the next lesson.

2) Recommended - Pay for the week’s lessons separately at the beginning of each week.

  • Lesson pricing:

    • Year 7-9 (KS3) - £25/hr

    • GCSE - £30/hr

    • A-Level - £35/hr

  • For any additional lessons (that are not regular scheduled lessons) agreed between yourself and the tutor, please complete payment as soon as possible after the lesson has been completed.

  • Payment methods include credit/debit card, bank transfer, or other secure online systems.

8. Cancellations and Refunds

  • Refunds will only be issued in cases of service failure or tutor/provider unavailability, and at the discretion of SynapseUK.

  • Late cancellations or missed sessions may not be refunded.

  • For regular scheduled lessons, if payment has not been made by the time the lesson is scheduled and SynapseUK have not been given notice as to why payment has been delayed, we will assume the lesson is not going ahead and it will be cancelled.

9. Safeguarding and Code of Conduct

  • Students must not share personal contact details with tutors outside the official platform and all communications must be through the WhatsApp group chats.

  • Inappropriate behaviour from students or parents may result in immediate termination of service without refund.

10. Data Protection & Privacy

  • SynapseUK complies with the UK General Data Protection Regulation (UK GDPR).

  • Personal information is collected only for service delivery and never shared with third parties without consent.

11. Liability

  • SynapseUK accepts no liability for academic results.

  • We are not liable for any breach of contract or negligence by third-party providers.

12. Intellectual Property

  • All content and materials provided through SynapseUK (e.g. worksheets, prep guides) remain the intellectual property of SynapseUK or its tutors.

  • These must not be redistributed, resold, or reproduced without permission.

13. Amendments

  • SynapseUK reserves the right to amend these Terms at any time.

  • Changes will be communicated via WhatsApp, email or updated on our website.

WORK EXPERIENCE: TERMS & CONDITIONS

1. Introduction

These Terms & Conditions ("Work Experience T&Cs") apply to all SynapseUK (“we”, “us”, “our”) work experience programmes—both in‑person placements (in collaboration with partner organisations) and online experiences. These T&Cs supplement our general Terms & Conditions, Privacy Policy, Safeguarding Policy, and Widening Participation & Access Policy, all of which apply unless otherwise specified. By registering for or participating in a SynapseUK work experience programme, you ("Participant", "you", "your") agree to these Work Experience T&Cs.

2. Programme Scope

a. In‑Person Placements
– Conducted in collaboration with third-party organisations (e.g., clinics, dental practices, hospitals).
– You may attend clinical and professional environments, observe activities, and engage with staff—within defined scope and under supervision.
– Program availability may vary; as noted on our dental page, “In‑Person Work Experience: 5 day placement: £75”. Further programmes may follow similar structure as they launch.

b. Online Work Experience
– Delivered remotely via digital platforms (e.g., webinars, virtual sessions, interactive modules).
– Currently rolling out across disciplines; some modalities noted as “Coming soon…”.

3. Eligibility & Registration

– Participants must meet minimum age and eligibility criteria as specified per programme.
– Registration requires submission of accurate personal details via our form.
– We reserve the right to reject, cancel, or defer applications at our discretion.

4. Fees & Payment

– Fees for in‑person placements are clearly indicated (e.g., £75 for dental) and must be paid in full before attendance.
– Online programmes may have separate fees or sponsorship—these will be clearly communicated.
– Fees are in GBP and include VAT where applicable.

5. Cancellation, Rescheduling & Refunds

– Participants may cancel or reschedule up to 14 days before the programme start date—terms vary by programme and will be stated at registration.
– For cancellations within the allowed window, a full or partial refund may be provided; outside this window, fees may be forfeited unless otherwise agreed.
– Refund processing should be completed within 14 days of acknowledgment of cancellation.

6. Participant Conduct & Safety

– You must comply with all rules and guidelines of both SynapseUK and our placement partners.
– In-person participants must follow dress code, confidentiality, and clinical standards; failure may lead to removal from the placement.
– Online participants must engage respectfully, avoid disruptive behaviour, and respect all intellectual property, digital rights, and privacy rules.

7. Safeguarding & Supervision

– All participants are subject to our Safeguarding Policy. In-person placements include appropriate supervision as per partner standards.
– Any safeguarding concerns should be reported immediately to Synapse UK or the on-site supervisor.

8. Data Privacy

– Participant personal data will be collected, stored, and processed per our Privacy Policy and the UK GDPR.
– Data may be shared with placement partners strictly for administrative or compliance purposes and in accordance with the Widening Participation & Access Policy.

9. Widening Participation & Access

– We promote equitable access to work experience programmes and provide bursaries or fee waivers to eligible students (e.g., those on pupil premium, POLAR-defined areas, disabilities, care leavers).

10. Intellectual Property

– Materials shared during online or in-person experience remain SynapseUK or partner property. You may only use them for personal educational purposes and must not redistribute without permission.

11. Liability

– To the fullest extent permitted by law, SynapseUK and partners disclaim any liability for indirect, incidental, or special damages incurred during participation.
– In-person placements carry inherent risks; you agree to follow safety guidelines and accept responsibility for personal conduct.
– These limitations do not apply to liability arising from negligence causing serious injury or death.

12. Programme Changes

– SynapseUK reserves the right to modify or cancel programmes due to circumstances (e.g., capacity, partner changes, safety concerns). If we cancel, you will be offered an alternative or a full refund.

13. Complaints & Feedback

– Concerns or feedback should be raised promptly via our Contact Us form. In-person placement issues can also be raised with on-site coordinators.
– Complaints will be handled per our general Terms & Conditions and escalation protocols.

14. Governing Law & Jurisdiction

– These Work Experience T&Cs are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of its courts.

15. Changes to These T&Cs

– We may update these terms at any time. We will post the revised version with an updated effective date. Continued participation implies acceptance of changes.

ADMISSIONS: TERMS & CONDITIONS

1. Introduction

These Admissions Terms & Agreement ("Agreement") apply to all Synapse UK ("we", "our", "us") admissions support services, including UCAT preparation, UCAS application guidance, and interview coaching for Medicine and Dentistry applicants. These complement our general Terms & Conditions, Privacy Policy, Safeguarding Policy, and Widening Participation & Access Policy. By accessing or participating in any of these services, you (“Participant”, “you”, “your”) agree to be legally bound by this Agreement.

2. Eligibility & Registration

– Services are available to applicants seeking admission to Medicine or Dentistry in the UK.
– You must provide accurate, truthful, and complete information during registration.
– We reserve the right to accept or reject applications at our discretion.

3. Services Offered

– UCAT Preparation: Includes personalised coaching, courses, and strategies for test-taking.
– UCAS Application Support: Guidance on selecting universities and crafting your UCAS answers.
– Interview Preparation: MMI and panel interview coaching, including mock sessions and tailored feedback.
– Services are delivered online and may include one-on-one and small-group formats as available.

4. Fees & Payment

– Fees are as specified during the application or service selection process. All prices are in GBP (£) and inclusive of VAT where applicable.
– Payments must be made in full before service commencement, unless otherwise agreed.

5. Cancellation & Refund Policy

– Participants may cancel or reschedule sessions up to [X] days prior to the scheduled start.
– Cancellations within the notice period may be eligible for a full or partial refund; cancellations after this period may not receive a refund unless otherwise agreed.
– Refunds will be processed within 14 days of acknowledgment of cancellation.

6. Participant Responsibilities

– Attend sessions punctually and prepared.
– Engage respectfully with tutors and peers.
– Use all Synapse UK materials solely for personal educational purposes; redistribution is prohibited.
– You must not replicate or plagiarise any content—you remain responsible for the originality of your submissions.

7. Safeguarding & Conduct

– Participants must comply with our Safeguarding Policy.
– Any safeguarding concerns must be reported immediately to Synapse UK.

8. Data Protection

– All personal data is handled in line with our Privacy Policy and UK GDPR standards.
– We may share necessary data with service providers or partners, as permitted under our Widening Participation & Access Policy.

9. Widening Participation & Access

– We strive to provide equitable access to our services. Eligible individuals (e.g., from low-income backgrounds, first-generation students, care-experienced, etc.) may qualify for subsidised or free support as outlined in our Widening Participation & Access Policy.

10. Intellectual Property

– All materials provided remain the intellectual property of Synapse UK or its licensors.
– You are granted a limited, non-transferable, non-commercial license for personal use only.

11. Liability

– To the extent permitted by law, Synapse UK disclaims liability for any indirect, special, or consequential damages resulting from participation.
– We accept liability for death or personal injury only to the extent caused by our gross negligence or wilful misconduct.

12. Changes to Services or Agreement

– Synapse UK reserves the right to modify or discontinue services with notice.
– If a significant change occurs, we'll notify you promptly and offer alternatives or a full refund where appropriate.
– We may update these Terms—changes will be posted with a new effective date. Continued use of services implies acceptance.

13. Complaints & Feedback
